Interpretation and translation services

The Danish Return Agency collects and processes personal data about the interpreters undertaking interpretation and translation assignments supporting the authority tasks entrusted with The Danish Return Agency.

Purpose and legal basis

The purpose of this processing of personal data is to be able to select and order interpreters, to administer and document agreements on oral interpretations and written translations between the interpreter/translator and The Danish Return Agency.

In anonymized versions, information may be further processed for the purposes of statistics.

The legal basis for the processing of interpreters’ personal data is consent, see  Article 6(1)(a) of the General Data Protection Regulation in the case of registration and processing of said interpreter’s data in our interpreter booking system.

For the purposes of specific interpretation assignments, the processing og data is pursuant to Article 6(1)(c) of the General Data Protection Regulation, stipulating the legal obligation of the data controller and Article 6(1)(e) of the General Data Protection Regulation on public authority management executed by The Danish Return Agency in compliance with The Danish Aliens’ Act and The Danish Act regarding the Return of Foreign Nationals with No Leave to Stay.

Categories of data

In our interpreter booking system we process  information on the interpreter’s name, sex, address, email, phone number, CVR-no., country of birth, language, education/training, photo and the agreed-upon category that regulates the rate payable by The Danish Return Agency.

Adding to this, The Danish Return Agency processes information resulting from the use of the interpreter booking system. This includes:

The interpreter’s response time to inquiries from The Danish Return Agency as weel as cancellations of already scheduled assigments.

  • Number of assignment hours for The Danish Return Agency including start and wrap-up time as well as the number of completed assignments performed for The Danish Return Agency.
  • Registrations of periods during which the interpreter has been unable to undertake an assignment.
  • Complete and incomplete invoices at The Danish Return Agency.

The Danish Return Agency may also register other data about the interpreter.

This may be data on not wanting to undertake certain assignments, not wanting to interpret in specific cases or at certain places or other instances pertaining to the undertaking of interpreter assignments for The Danish Return Agency.

The Danish Return Agency may also process complaints received in connection with the undertaking of the interpreter’s assignment for The Danish Return Agency. 

Recipients of personal data

Complaints about interpreters will be forwarded to The Danish National Police.

Storage of your data

Data in our interpreter booking system will be stored until the interpreter withdraws his/her consent.

Data not registered in our interpreter booking system, will be duly stored in compliance with our legal obligations.

Data in our electronic case and document management system are duly stored in compliance with our legal obligations. This may include data on specific assigments pursuant to the rules of The Danish Bookkeeping Act. Data on an interpreter’s assignment in a specific immigration case will also be evident from said data until the record and the embedded data is deleted.

Data in our electronic case and document management system are regulated by the Danish Archives Act and may therefore be transferable to The Danish National Archives within 30 years (Article 30 of The Danish Archives Act)
